GENERAL SUMMARY:

The Finance Associate – Accounts Receivable supports and advances United Way of Southern Maine’s mission of improving lives by accurately managing donors’ information. This position is customer service-focused, internal and external, to ensure financial and database information is accurate and up-to-date, donor communication is timely, donations are processed per donors’ requests, and pledge payments are recorded.

ESSENTIAL FUNCTIONS:

Process Pledges.

  • Ensure the accurate and timely processing of annual campaign pledges, regular account statements, and annual tax receipts.
  • Receive and process all incoming pledge information. Process envelopes and review or complete Summary forms.
  • Ensure information is complete and accurate and resolve discrepancies.
  • Create a batch header and enter the data in the Constituent Record Management (CRM) system.

Process Cash Receipts

  • Process daily cash and check receipts
  • Review the EFT/Check Log, ensure accurate information, and reconcile discrepancies.
  • Create a deposit header (batch) and enter the data in the CRM.
  • Process credit card and electronic payments

Administer Donor Database for Pledges/Receivables

  • Review pledges receivable report to identify items that may require further action.
  • Communicate with internal (Resource Development) and external parties (donor, company, etc.) to resolve issues.
  • Prepare monthly pledge reminders and follow up on outstanding receivables to ensure payment is received.
  • Respond to inquiries from donors regarding outstanding pledge balances, pledge amounts, and amounts paid to date

Other Accounting Responsibilities

  • Answer accounting and financial questions by researching and interpreting data.
  • Provide support and analyses as required for outside auditors.
  • Learn the other roles in the Finance team to provide backup support when necessary.
  • Perform other related duties as required.

REQUIRED EDUCATION AND EXPERIENCE:

  • Duties require completion of a bachelor’s degree or foreign equivalent and 3 – 5 years of related experience, or an associate degree or foreign equivalent and at least five years of related experience or an equivalent combination of education and experience.
  • Commitment to the mission of United Way of Southern Maine.
  • Ability to work independently, manage multiple tasks, and meet project deadlines with a high degree of accuracy.
  • Thorough knowledge of modern office practices, procedures, and equipment.
  • Proficiency in a Microsoft Office 365 environment and experience working with financial management applications and databases is preferred
  • Strong attention to detail; ability to identify and implement improvements to operating systems.
  • Excellent analytical and problem-solving skills.
  • Strong English communication skills, both verbal and written, with a professional presentation
  • Non-profit finance experience preferred but not required.
  • Ability to establish effective working relationships with and provide excellent customer service to staff, vendors, donors, payee agencies, and volunteers.
  • Self-confidence, professionalism, sound judgment, and discretion when managing confidential information are essential.
  • Good decision-making skills and learning skills.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; balance; stoop, kneel, crouch or crawl; talk or hear; The employee must occasionally lift or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

POSITION TYPE/EXPECTED HOURS OF WORK:

This is a part-time position spanning 20-25 hours per week. Hours of operation are Monday through Friday, 8:30 a.m. to 5 p.m. This position may require weekend work during peak times. 

At UWSM, we are focused on creating connections within the Southern Maine community. Our current hybrid model is focused on doing just that, requiring our team members to spend 8 hours per week creating connections. Examples of creating connections include office time, external meetings/gatherings, training, volunteer engagement events, and even a cup of coffee with an internal/external partner.

TRAVEL:

Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
