GENERAL SUMMARY:

The Database Manager supports and advances United Way of Southern Maine’s (UWSM) mission of improving lives through strategic and methodical collection, synthesis, retrieval, and analysis of data to inform various UWSM activities and programs.

This position reports to the Director of Technology and Data and works with all departments to provide data reports, serving both internal and external stakeholders.

Key focus areas and initiatives include campaign performance reporting, data synchronization, Constituent Relationship Management (CRM) maintenance, organizational dashboards, and project implementation assistance for digital constituent communications platforms.

ESSENTIAL FUNCTIONS:

  • Administers the day-to-day of UWSM’s database, StratusLIVE CRM.
  • Partners with leadership team, cross-functional, and vendor partners to ensure data hygiene, quality analytics, segmentation, and customer insight and understanding.
  • Creates and provides timely reports for all organizational departments as requested, including annual organization-wide collection and submission of accurate data to United Way Worldwide such as the Database II report.
  • Promotes and influences staff towards accurate data capture and entry to achieve accurate and consistent reports and historical analysis.
  • Performs regular data cleanup of all systems, manages annual effort to improve data hygiene.
  • Develops processes to augment relationship management efforts with donors, volunteers, and partner organizations.
  • Designs and implements tracking and reporting solutions to mine the databases for stakeholder measurement and analysis of donor, volunteer, advocacy, and grant recipient activity.
  • Assists with training and guidance on any CRM functions developed.
  • Intake raw data files, organize and clean the data, and properly map data fields back to the CRM for advanced import.
  • Designs and supports processes that foster strong relationships with companies, individuals, community leaders, and agency partners.
  • Ensures all aspects of data model are clearly documented for both business and technical and necessary documentation requirements are embedded in change processes.

REQUIRED EDUCATION:

Bachelor’s degree or foreign equivalent. Relevant experience may be substituted in lieu of a degree.

REQUIRED SKILLS AND EXPERIENCE:

  • 2+ years’ experience in database reporting or administration.
  • Commitment to excellence and to the mission of UWSM.
  • Strong detail orientation and focus on accuracy.
  • Problem solving – ability to recognize courses of action that can be taken to handle problems and apply contingency plans to solve those problems.
  • Self-motivated – ability to reach a goal or perform a task with little supervision or direction.
  • Customer-oriented – desire to serve clients by focusing on meeting their needs, understanding their concerns and seeking to build trust.
  • Effective English written and verbal communication.
  • Strong computer skills with comfort and experience in Microsoft Office suite including Excel, Access, PowerBI, and database administration.

WORK ENVIRONMENT:

This job operates in a professional office environment. Therefore, this role routinely uses standard office equipment such as computers, phones, and photocopiers.

POSITION TYPE/EXPECTED HOURS OF WORK:

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. This position may require long hours and weekend work during peak times. At UWSM, we are focused on creating connections within the Southern Maine community. Our current hybrid model is focused on doing just that, requiring our team members to spend 16 hours per week creating connections. Examples of creating connections include office time, external meetings/gatherings, training, volunteer engagement events, and even a cup of coffee with an internal/external partner.

TRAVEL:

Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected. Local travel in Southern Maine is expected as a routine function of volunteer project management during the business day with stakeholders.
